Export Shipping from Iran: Documents, Packing and Costs

Marking Iran’s National Export Day: a practical guide for exporters and manufacturers

Export shipping from Iran becomes easier to plan when the cargo specifications, buyer and seller responsibilities, documents and delivery point are clear from the outset. A successful sales order can still face delays, damage or unexpected charges if packing and transport arrangements are incomplete. This guide helps exporters prepare before booking and compare freight proposals on an equivalent basis.

Iran’s National Export Day, observed on 29 Mehr, is an opportunity to recognise producers and exporters and consider the quality of trade execution. Farvahar Group congratulates the export community. Our focus here is on the decisions that make a shipment’s journey from collection to customer delivery more transparent.

1. Build a complete cargo brief before requesting a quote

Give your freight team enough information to assess a service, rather than providing only the destination country:

  • An accurate commodity description, intended use, material and HS code if already established;
  • Package count, packing type, gross weight and external dimensions of each package;
  • The collection address in Iran and the required delivery point overseas;
  • The realistic cargo-ready date and latest acceptable delivery date;
  • The agreed delivery term, cargo value and insurance requirements;
  • Stackability, temperature-control needs and any special cargo characteristics.

Photographs support the assessment but do not replace measured weights and dimensions. Label estimates clearly and confirm final specifications before booking.

2. Export shipping documents: what should you check?

The final document set depends on the commodity, destination, route, transport mode and transaction. The table below is a starting point. Confirm shipment-specific requirements with the party handling customs formalities and the destination counterpart.

Document or informationPractical check before shipment
Commercial InvoiceCheck the parties, commodity description, quantity, value and transaction terms for accuracy and consistency.
Packing ListMatch package count and identification, net and gross weights and dimensions to the prepared cargo.
Transport document instructionsVerify shipper, consignee, notify-party and delivery details before final issuance.
Certificate of Origin, permits or specialised certificatesEstablish whether they are needed for the commodity, destination requirements and transaction.

A general description such as “parts” does not identify cargo adequately. For chemicals, batteries and other special cargo, provide technical information and relevant documents before delivery to the warehouse. Issuing a transport document is also a separate stage from obtaining an initial freight estimate.

3. State the delivery term and the precise named place

Incoterms® rules help clarify the tasks, costs and risks associated with delivery between seller and buyer. Include the agreed rule, named place or port and edition in your quote request. An abbreviated term without a delivery location leaves important operational questions unanswered.

Before booking, establish who will arrange inland transport, export formalities, main carriage, insurance and destination activities. Responsibilities should align with the sales contract and the freight proposal’s scope. Clarify freight charges, payment terms and insurance cover separately.

4. Which transport option suits your export cargo?

Match the mode to the customer’s delivery needs, cargo value, weight and volume, shipment frequency and origin and destination facilities. Cargo acceptance and route availability must be confirmed for the actual shipping date.

OptionWhen to assess itDecision point
Sea freight: FCL or LCLContainerised cargo or shipments suitable for sea-freight consolidationCompare port and destination charges, handling stages and sailing schedules alongside the freight rate.
Road freight: FTL or LTLMarkets with a workable road corridor, for full-truck or consolidated cargoClarify border crossings, consolidation time, possible transfers and the delivery point.
Air freightUrgent shipments, samples or time-sensitive cargoCheck chargeable weight, dimensions, commodity restrictions and airline acceptance.
Rail or multimodalWhere a suitable route and operational capacity are availableCoordination between transport stages, terminals and first- and last-mile movements is essential.

5. Prepare export packing for the entire journey

Packing should account for forklift handling, vibration, stacking pressure and route conditions. Select cartons, pallets or crates, lifting points, stacking limits and securing arrangements to suit the commodity. For special cargo, identifying the centre of gravity and approved lifting points supports loading planning.

The joint IMO/ILO/UNECE CTU Code provides guidance on safe packing and securing in cargo transport units. For packed sea containers subject to SOLAS, Verified Gross Mass (VGM) must also be provided through the applicable process before loading onto the vessel. VGM is not the cargo’s net weight: it includes packing, securing materials and the container’s tare mass.

6. Compare export shipping costs across the full service scope

Two offers are comparable only when the origin, destination, cargo specifications and delivery point match. Ask the provider to identify these items separately where they apply:

  • Collection, inland transport, loading, packing and securing;
  • Agreed customs and documentation services;
  • Main freight and terminal or port charges;
  • Intermediate transfers, storage and potential delay-related charges;
  • Insurance and the proposed scope of cover;
  • Destination services and final delivery as agreed.

Record the currency, rate validity, charging basis and exclusions. Container free time, empty-return deadlines and storage charges also need service-specific definitions; do not treat them as one interchangeable allowance.

7. Worked example: turn pallet dimensions into a clearer quote request

Assume four loaded pallets, each measuring 120 × 100 × 110 centimetres externally. Each pallet occupies 1.32 cubic metres, giving a total of 5.28 CBM. If the combined gross weight is 1,200 kilograms, include both weight and volume in the request.

This calculation alone does not determine the freight charge. Non-stackable pallets, floor-space pricing or a different volumetric charging basis can change the quotation. Use the Farvahar CBM Calculator to calculate package volume.

Final checklist before handing over the cargo

  1. Match the final packing list to the actual packages and specifications.
  2. Approve the draft transport document and consignee details.
  3. Confirm cargo acceptance, departure arrangements and cargo and document cut-offs.
  4. Define the start and end points of the estimated transit time.
  5. Photograph packing and loading conditions and retain handover records.
  6. Assign a contact for each stage and agree how schedule changes will be communicated.

Export shipping: frequently asked questions

Can I obtain a firm quote using only the destination country?

A meaningful proposal needs commodity details, weight and dimensions, collection and delivery points, the cargo-ready date and service scope. Review an initial estimate after the final information is confirmed.

Does the freight rate include insurance and destination charges?

Only where the offer explicitly includes them. Clarify insurance cover, destination services and responsibility for each charge before booking.

Where should I start with my first export shipment?

Gather the cargo specifications, agreed delivery terms and buyer information. Then assess route feasibility and the documents needed for that shipment. The Farvahar Freight Quote Checklist helps you prepare the information.

Request a shipment-specific export freight proposal

Through its specialist group companies, Farvahar Group assesses sea, road, air, rail and multimodal options against each shipment’s requirements. Send the packing list, origin, destination, delivery term and cargo-ready date through Farvahar Group’s contact and quote request page. Service availability, capacity and operating conditions are confirmed after review.
